Start at the venue walkthrough
Bring the planner or property contact to the proposed position. Identify the guest approach, evening lighting, catering route and delivery access. A beautiful location still needs enough level space for the trailer, tongue, steps and service vehicle.
Ask for the specific configuration
A station count does not tell you the full layout, accessibility or utility requirements. Request the reserved model’s documentation and interior photos. Ask about flushing fixtures, sinks, climate control, tanks and servicing for the entire reception period.
Confirm power and water with the rental team
Measure the distance to the proposed utility connections. Have the selected trailer’s circuit requirements and water arrangement confirmed before relying on venue outlets. Discuss a generator or temporary water system if normal connections are unavailable.
Include guests with accessibility needs
Steps at an ordinary trailer can exclude guests. Plan an accessible trailer or appropriate ADA unit with a firm, accessible approach. Avoid positioning the only accessible restroom across soft grass or beyond a service barrier.
Schedule outside the most crowded setup period
Share the rehearsal schedule, delivery window, reception end and venue lockup. Fallbrook estate and rural-property access can be shared by several vendors at once. Confirm pickup after the event so the final vendor departure does not leave equipment locked behind a gate.
